In our new digital-first world, as more people prefer to engage online on their own terms, creating virtual events can be a great opportunity for staying connected and sharing knowledge with your customers. Folloze allows you to host virtual Live Events on your board, such as livestream conferences, personal business meetings and webinars for delivering an engaging digital experience.
Using Live Events allows you to enjoy the following capabilities:
- End-to-end virtual event experience: Connect with customers before, during, and after live events.
- Personalized content: Personalize the Live Event by adding customized dynamic content to the board for a personalized customer experience.
- Video Stream: Full support for your video stream whether live or on-demand.
- Event options: Choose which option suits you best, livestream, simulated live sessions, or zoom meeting.
- Attendance status: Keep track of attendance and time spent at your live event. You can view this data in the Activity Report and on the Pulse table.
- Add scheduled live events to a calendar: Help leads plan for your live events by adding it to their personal calendar.
- Real-time chat: Collaborate with your customers during live events.
Here are the types of Live Events you can host:
- Zoom meetings. With Live Events, you can host a Zoom meeting and allow meeting attendees to collaborate, brainstorm and share ideas virtually. For example, your sales and customer success teams can use Zoom for hosting virtual lunch and learns with customers to introduce new product features and benefits. You can upload presentation slides as items on the board so that you can view them together with participants during the meeting. Or, send the board to customers beforehand, including slides, meeting intro or agenda so that they can properly prepare for the meeting. Likewise, you can conduct one meeting with several customers simultaneously while each customer views their personalized content and items on the board.
- Live stream events. This type of event is typically one-directional in which the presenter hosts the event and attendees do not interact with one another. As host, you can use the live event to introduce a new product or present your latest marketing strategy. To encourage audience involvement and make the event feel more personal and interactive, you can enable the chat during your live event so that participants can ask questions of the conference facilitator as well as communicate and network with other attendees.
- Simulive videos. If you’re looking for a way to run webinars and demos regularly, you can pre-record a video and schedule it to start at a designated date and time. Just like an in-person event, if an attendee is 10 minutes late to the session, they miss those minutes as the event appears to be happening in real-time. Additionally, you can make the video available on the board after the event has ended for customers to watch on-demand at their convenience. To add to the live event experience, you can allow attendees to interact during the Simulive event with live chatting.
To create a Live Event on a board:
- Select the board you want to add a live event to.
- Go to the Designer tab > Live Event.
- Enable Live Event Visibility.
4. Choose the Live Event Type.

- Zoom: this option is ideal for hosting interactive sessions with audience participation.
- Stream: this option is ideal for hosting a view-only event. Participants can view content shared by the host and collaborate by chat. To use the stream option, you must have a live stream platform, such as YouTube and Vimeo.
- Simulive: you can independently upload a video or MP4 and play it live at a specific time. After the designated time, you can choose to play it on-demand.
If you choose a Simulive event, the Upload Video dialog opens.
5. To add your video to a Simulive event, click Upload Video File.
6. Give the event a memorable Title and Subtitle.
7. Enter an Event Name. Give a name that grabs your customer’s attention and inspires them to join. The event name appears on the board’s placeholder.
8. If you select a Zoom or Stream event, enter the Zoom URL or Stream URL.
For stream, you cannot add a zoom recording link. Therefore if you want to use a zoom recording you should first upload it to another tool such as Brightcove and then use the link from there.
9. To schedule the event for a specific date and time, enable the Schedule Start Event toggle.

- Start date: Use the calendar picker to enter the date your event is taking place. Set the time and time zone of the event.
The event placeholder appears on the board until the event starts. - If you want the event to appear on the board for a limited time, click Add End Date and schedule an end date for your event.

If the toggle is disabled, the event is available on-demand for customers to watch on the board.
10. To add an Add To Calendar button to your board, activate the toggle.
Adding the button enables a lead to add a scheduled live event to their personal calendar. The button is displayed on the live event placeholder and the lead can choose from one of the following calendar options:

- APPLE
- OFFICE 365
- OUTLOOK
- OUTLOOK WEB
- YAHOO
After the lead selects a calendar, the following information is included on their calendar:

- Event title
- Start date and time
- Description of event
- Live event link
11. In Description for calendar invite, write a short description of the event.
After the lead adds the event to their calendar, this description will appear on the lead's calendar linking to the live event.
You can also add an Add To Calendar button in the email that the lead receives upon registration that links to the live event. To learn more, read the article Creating Email Templates.
12. To make the video available for on-demand viewing immediately after a Simulive event has ended, enable the Post Video On Demand toggle. If disabled, the video will be played at the scheduled time only.

- Your video on demand can remain on the board for as long as you wish. To play the video for a limited time, click Add End Date and schedule an end date.
Most common browsers now automatically mute videos that autoplay. For videos to autoplay with sound, the visitor must manually unmute them.
13. To track attendance and time spent at your live event, enable the Attendance button toggle.
Participants will need to click a button on the board before joining your live event.
You can view data on attendance at your live event in the Engagement Activity Report and on the Pulse table. When a lead attends a live event, their event status is listed as 'Attended.' Alternatively, when a lead watches a simulive event on demand, their status is listed as 'Viewed Recording.' The Activity Stream records the name of the live event attended or the on-demand video watched, as well as the time spent at the event.
In addition, when a lead attends a zoom meeting within the Zoom Client, their event status is updated to 'Attended.' Each time they enter the zoom meeting is recorded as a new activity in the Activity Stream and reports, but the time they spent is not tracked.
14. If you enabled the Attendance button, enter Button Text, i.e., Join, Welcome, or Attend. This text appears on the live event placeholder. The button text is limited to 50 characters.
15. To open the chat for your audience in a live stream or simulive event, select the Enable Chat toggle. In case you are hosting a Zoom meeting, this option is unavailable.
16. To close the current chat and start a new chat, click Reset Chat.
17. To show the names of event attendees, enable Show Chat Attendees.
18. To save your settings, click Save.
Inform your customers about the upcoming event by sending them a link to the board. The Live Event appears in the placeholder under the board’s banner. If this is a scheduled event, the event’s information appears on the board until the event starts.
After the live event has ended, you can add the recorded event to your board for those who missed watching it live. Also, post-event follow up is important. Use your board to reach out to attendees with additional content about the event’s topic or include a survey to collect feedback.
