As Company Admin, you can limit the number of emails sent by users at your organization to maintain email compliance and ensure campaigns are safely delivered when an email provider limits email sending.
The email restriction setting affects:
- Gmail, Office 365 and Folloze email providers only
- Emails to leads only and not to other users (e.g., test emails)
Setting email limitations
- Go to Company Admin > Emails > Email Provider.
- Enable the Email Limitation checkbox.
- Set a number of emails that can be sent from each user within a specific time period.
- Select the time period from the drop-down menu.
-
- Hour
- Day
5. Click Save.
For example, set the number at ‘300’ and select ‘day’ to restrict users to sending 300 emails per day.
If the user tries to send more than 300 emails on a specific day, they’ll receive an error message that they’ve exceeded the maximum number of emails.
Overriding the Email Limitation setting
As Admin, you can exclude specific boards from the email limitation setting. For these boards, there will be no restrictions on the number of email campaigns sent.
This can be useful when your organization is planning a high priority campaign and does not want to be limited in sending emails.
To exclude a board from email limits:
- Go to Company Admin > Emails > Board Restrictions.
- Select the board you wish to exclude from the email limit.
- Under Exclude Email Limit, enable the Limit Excluded toggle.
Important information about Email Limitations
Sending an email
- When a user clicks ‘Send’ or ‘Approve’, the system checks if the email can be sent. If a user has exceeded the sending limit, the email is not sent.
- All scheduled and content play emails are taken into consideration in the email limit. An “all or nothing” rule applies here, meaning even if one of the emails exceeds the email limit, all emails are not sent.
- The user needs to reschedule the campaign date and time until finding a suitable date.
Auto-approval of email campaigns
- If a user has enabled auto-approval for their emails campaigns, the sender can automatically send on their behalf when the number of emails does not exceed the limit.
- However, if the number of emails being sent exceeds the limit, auto approval is disabled. The user must manually approve the campaign before sending and reschedule until finding a suitable date for the campaign.
