Folloze users can be assigned different permission levels on a specific board. These permissions are first assigned when sharing the board with others.
The following board permissions can be assigned:
- An owner is the original creator of a board and the only person who can delete the board. They can edit the board’s content and design, and have full access to analytics and notifications. When sharing the board, owners can invite other users to be either an editor or subscriber. Owners are identified by a title under their name. Each board has only one owner, as the permission is designated automatically when the board is first created. Unlike other permissions, owner privileges for a single board cannot be shared with multiple users.
-
Editors are typically marketing users. They have identical privileges as owners, except they cannot delete the board. One board can have multiple editors. Editors are identified by a
pencil (editor) icon.
-
Subscribers are typically sales users. They can receive notifications and view the content items, analytics, and designer, but cannot edit or delete the board. In addition, they can view the unpublished version that is saved in the designer. If they want to see the published version they should click 'View Board'. Subscribers cannot invite others to be editors or subscribers. One board can have multiple subscribers. Subscribers are identified by an
arrow (subscriber) icon.
Which permission should you assign to someone?
First, think about the person’s existing role in your organization and ask yourself: what part will they play in this project? What do I need from them?
Here are some examples:
1) Make someone an editor if you want their help editing and building the board. Say you’re a marketer who’s launching a new campaign. In this context, you might give editor privileges to other marketers who will help you finalize the board’s content and design. When used this way, editor status can be a tool for collaboration, allowing multiple people to put together a single board.
This approach tends to work best in smaller groups. In other words, you don’t necessarily want to make everyone on your team an editor. Otherwise, things can get a little unwieldy! Having a large number of editors can make it harder to keep track of, or maintain control over, everyone’s changes. Instead, some team members might function better as subscribers.
2) Make someone a subscriber if you want their help sharing the board and tracking activity, but you don't need them to change anything.
For instance, in a campaign, you might assign subscriber privileges to a sales rep who's in charge of sending the board to leads. As a subscriber, they can view notifications and analytics to see which leads are most engaged, helping them determine who they should follow up with. Because they aren’t responsible for the board’s content or design, however, they won’t be able to make any edits.
Note: The same person can be assigned different permission levels for different boards. For example, you could make one of your team members a subscriber for Board A, but an editor for Board B.
Changing an invitee's permissions
If you’re a board owner or editor, you can also change an invitee's permission level after inviting them. For instance, say you invited someone to a board as an editor, but later want to make them a subscriber.
To change an invitee's permissions:
- Go to your Folloze homepage. Find the board whose invitee privileges you want to change.
- To open the board’s share options, perform one of the following:
- Hover over the board. Click the
menu button on the top rights and select Invite.
OR - Select the board and click the menu button in the top right.
3. Find the person's name on the invitee list.
4. Click the arrow by their name and select a new permission from the dropdown menu.
5. When finished, click Close.
You can only change a user’s permission if you directly invited them to the board. You cannot change the permission of users who were invited by someone else (unless you are the board’s owner).
