This includes tasks such as assigning, viewing, and editing user roles and licenses. Additionally, you can filter the table of Users by activation status, and view the last date a user was active to identify who is actively using Folloze. User licenses Each Folloze user can be assigned one license and role at a time. The following license types are available: Creator: a Folloze user that is typically from the Marketing team who actively builds boards, assembles content and carries out any kind of marketing campaigns. This license type has full access to the system capabilities based on the company plan, including board building, campaign orchestration, and engagement analytics. Collaborator Pro: a Folloze user that is typically from the Sales team, who needs to be more involved in the board, particularly when working on sales-oriented and RFP boards. With this license, users can add content to boards and change the access and security settings. Collaborator: a Folloze user that is typically from the Sales team, and has access to one or more of the following: Folloze engagement data through a Folloze dashboard or an API, sharing boards as a subscriber via Folloze email campaigns or through integration with any sales engagement platform (e.g. Outreach). Associate: this is the most basic Folloze license, typically assigned to Sales teams. With this license, users cannot access the Folloze system, but they can be added as Article Authors, as well as Inviters and be shown on contact cards. Additionally, they can receive email notifications for CTAs. An Associate can only be added as a Subscriber to a board. User roles Roles are a set of permissions a user can have on the Folloze platform. Each role is mapped to one license type only. The Creator license is typically granted to marketers and includes the following roles that have the highest permissions: Company Admin: controls all admin settings and has access to all boards and content. Company Editor: has access to all boards and content. Creator Author: has access to boards and content that they have permissions on. Creator Player: has access to boards and content that they have permissions on. Can create a board, but needs approval to publish it. Creator Player (Limited): cannot create campaigns. Note: The setting 'Preventing players from creating campaigns' is removed from the Privacy settings under the Admin settings and is now related to the new Player Limited role. The Collaborator Pro license is typically granted to Sales representatives who want to be more involved with boards and includes the following roles: Collaborator Pro: Can add content to boards. Can change the Access and Security settings on a board (for example, to protect boards with 2FA). Cannot create, edit, duplicate archive or delete boards.Can access the Designer in Preview mode. The Collaborator license is typically granted to Sales representatives and includes the following permissions: Collaborator: Can only be added as a subscriber on a board. Cannot create and own boards or duplicate boards. Can access the Account and Analytics dashboards, as well as the Report Center. Can send email campaigns and view analytics at board level. The Associate license is the most basic license that is typically granted to Salespeople and includes the following roles: Associate: Cannot log in to the Folloze system. Can only be added as a subscriber on a board. Can be added as an Article Author, Inviter and Contact Card. Can receive email notifications for CTAs. Cannot create, edit or own boards. Cannot send email campaigns and view analytics at board level. Other users cannot send campaigns on their behalf. Viewing the User Management table You can view a user’s assigned license and role under the User Management table. The user license is based on the role granted to the user. For example, if a user is assigned the Author role, the system calculates this as a Creator license. You can also view a user’s status and the last date they were active. To view user details: Go to Company Admin > User Management. View the following information on users: NameTitle: the user's title at organization Status: user’s status, e.g., invited, activated, suspended, revokedLast Seen: last date the user was active. If there is no information, N/A is displayed.Email ProviderLicenseRoleTeam The number of available Creator, Collaborator and Associate licenses is displayed on top. If your organization has exceeded the number of purchased creator/collaborator licenses along with any overage percentage, Folloze will block the organization from inviting new users. A notification will pop up if you exceed the license limit, reminding you that you cannot add any additional users. Managing Folloze Users As Company Admin, you can keep track of all Folloze users at your organization as well as invite new users to Folloze. You can also group your users into teams and change a user's role. You can also do the following in the User Management tab: Invite new usersFind a Folloze userFilter the User listEdit a user profileAssign users to teams Change user roles Change user status Suspend users Download user information Inviting Users to Folloze You can invite new users to your Folloze account using their email address. Additionally, you can invite multiple users in bulk. To invite a user to your Folloze account: Go to Company Admin > User Management > Users. Click Invite user. The Invite New User dialog opens. Assign the user a Role at Folloze from the dropdown list.(Optional) Add a photo of the user. Fill in the user’s details. The email address is a required field.To assign this user to a team, click Change Team. Select the appropriate team and click Apply.(Optional) Add the user’s social media accounts, bio and email signature.To enable the user to receive CTA Email Notifications, activate the toggle. Click Invite user. To invite users in bulk: Open the drop-down menu under Invite user and click Bulk invite. The Bulk Invite dialog opens. To download a Bulk Invite CSV template, click Download CSV file. You will receive a CSV file template of user properties on which you can add user names and fill in the details.Open the template and add the users and their details. You can import up to 400 users at a time. Save the file.To upload the Bulk Invite file, click Upload CSV file. Select the file to upload. After uploading the file, you will receive a notice that it was successfully uploaded. If there are errors in the file, you will need to fix them before uploading again. Invited users receive a welcome email inviting them to Folloze from the address invitations@folloze.com with a link directing them to the login page. Finding a Folloze User You can search the list of Folloze users to find any user. To search for a user, begin typing the user's email or name in the Search box, and select the name/email from the list. To search for a member of a specific team, first filter the list by teams and then search for a user using their name or email in the Search box. Filtering the User list You can filter the user list by teams, roles, licenses and status. For example, you can view all admins or users with a specific status. By default, only activated and invited users are displayed, excluding suspended and revoked users. Go to the filter section on the Users table.Open the dropdown list on any filter. Multi-select the options that you want to view. Editing a user profile You can edit the details on a user profile. Choose the user for which you wish to edit the user profile. To open the user’s profile, do one of the following Click on the user's row. OR On the user's row, click on the menu icon and select User Details. 3. Edit the profile as you wish. 4. To save the changes, click Save. Assigning Users to Folloze Teams You can assign users to different teams at Folloze. A user can only be assigned to one team. By default, a user is not assigned to any team (‘un-assigned’). You can also assign multiple users to a team in bulk. To assign users to teams, perform one of the following: To assign an individual user, choose the user. Click on the menu icon and select Change Team. OR To assign multiple users simultaneously in bulk, select the checkbox next to the user names and click on the teams icon . 2. Select a team from the list and click Add to Team. If the team capacity is full, you cannot add a user to that team. In this case, you will receive a message that the team capacity is full and that you should choose a different team. Changing a User's Role You can change the role of a single user or of multiple users in bulk. To change the role of a single user: Choose the user whose role you wish to edit. On the right-hand side, click on the menu icon and select User Details.In the User dialog, choose a new role under the Roles dropdown list. To save the changes, click Save. To change the role of multiple users: Select the checkboxes next to the names of users that you want to change their roles. Click the Change users' role icon . Select a role from the list and click Change Role. Changing a User's Status You can change the status of any user. For example, suspend an active account, reactivate a suspended account, and re-invite or revoke an invitation. Choose the user whose account status you wish to edit.On the right-hand side, click on the menu icon and select the new status. Confirm the action. Suspending Users You can suspend a single user from their Folloze account or suspend multiple users in bulk. Only activated accounts can be suspended. To suspend a single user: Choose the activated user. Click on the menu icon and select Suspend.Confirm the suspension of the user. To suspend multiple users: Select the checkbox next to the user names. Click on the Suspend users icon. Confirm the suspension of the selected users. Downloading User Information You can download user data in a csv file, including all table columns. This can be done for all users or for specific users in bulk. To download data for specific users, select the checkbox next to the user names and click the download icon . To download data of all users, click Download all users report.
