Overview

When customizing a board's/item’s URL, you may want to use a specific, memorable link (a Vanity URL). However, Vanity URLs must be unique across your entire organization. If you try to assign a Vanity URL that is currently in use by another board, you will receive an error message: "This alias is already taken."

     

To use that specific URL, you must first release it from its current assignment. This guide will walk you through how a Super Admin can locate, remove, and then reassign a Vanity URL.

Step 1: Release the Existing Vanity URL 

To free up the Vanity URL so it can be used elsewhere, you need to remove it from the system's Vanity URL registry.

1. Click on your profile menu in the top right corner and select Company Admin.

2. In the top navigation menu, go to the Content tab.

3. Select the Vanity URLs sub-tab.

4. Use the search filter to find the URL:

   • Set the dropdown menu to Board or Item.

   • Type the specific Vanity URL alias you are trying to use ( into the search bar and hit Enter.

5. Once the system locates the active Vanity URL, check the box next to it to select it.

6. Click the trash can icon (Remove Vanity Info) located on the right side of the selected row.

7. A warning prompt will appear. Click Confirm to permanently remove the vanity URL assignment.

The URL alias is now released and available to be claimed by another board/item.

Step 2: Assign the Vanity URL 

Now that the alias is free, you can assign it to your new board without encountering the error.

Board:

1. Navigate back to your main workspace by clicking Boards -> My Boards.

2. Click on the board you want to assign the Vanity URL to.

3. In the board's left-hand menu, ensure you are on the General tab.

4. Locate the Vanity URL field and click the pencil icon to edit.

5. In the "Set board vanity URL" pop-up window, type or paste your desired alias.

6. Click Apply.

Item:

1. Navigate back to your main workspace by clicking Boards -> My Boards.

2. Click on the item you want to assign the Vanity URL to.

3. In the item’s settings screen, Locate the Vanity URL field and click the pencil icon to edit.

4. In the "Set board vanity URL" pop-up window, type or paste your desired alias.

5. Click Apply.

 

Your board/item will now successfully use the new Vanity URL.
