The Zoom Event section enables you to host live Zoom events directly within your board, providing your audience with an integrated experience that includes live interaction, chat, and seamless event management.

Adding a Zoom event to your board is ideal for hosting webinars and demos, scheduled to start at a designated date and time. Following the event, you can display a placeholder or upload a recording for on-demand viewing. Attendees can engage in live interaction during the Zoom event, enhancing the interactive experience.

Before you begin

• Zoom URL - You'll need the Zoom meeting/webinar URL to host the event
• Image size - 1:1 ratio, We highly recommend using an image size between 500kb and 1000kb for optimal loading time.
• Recording file - Post-event recordings can be uploaded for on-demand viewing (Optional)

Designing a Zoom Event section

You can design the different elements of the Zoom Event section to suit your own personal style.

1. Select the board on which you wish to add a Zoom Event section and open the Designer tab.
2. Hover over the border between sections where you want to add the section and click Add Section. The Section Gallery opens and displays the section types.
3. From the section menu, select the Events category and then select the Zoom Event section type.
4. Click Add Section. The new Zoom Event section appears on your board for you to design. 
5. To design the Zoom Event section, choose one of the section editors.

• • Zoom Event section editor - design the overall look of the section and configure the Zoom event settings
  • Background editor - edit background settings, including images and padding
  • Text editor - edit the title and subtitle of the section and the attendance buttons
  • Button editor - design the button style and settings

Using the Zoom Event section editor

Using the Zoom Event section editor, you can configure the Zoom meeting URL and schedule the event date and time. You can customize titles for different stages of your event, such as pre-event, during the event and post-event. Additionally, you have the option to hide certain elements using the visibility icons.

1. To open the Zoom Event section editor, click the zoom event edit button on the section toolbar. 
   1. To hide the Title, Subtitle, and Button on the section, disable the visibility icon next to it.
   2. Set the Alignment of the title, subtitle and button.
2. Design the event's Settings.
   1. To change the Event Name, enter a new attention-grabbing event name in the textbox. By default, the event name given is the board's name. The event name is used in analytics and as the calendar invite title.
   2. Enter your Zoom URL to connect your Zoom meeting to the board event.
   3. Use the slider to set the Video Size to customize how the event appears on your board. 
   4. Enable Add image animation checkbox (checked by default) to add visual appeal to your event images.

   5. Enable Gallery View 
      Turn on the Gallery View checkbox (off by default) to display a grid of participants instead of focusing solely on the active speaker.
      
      
       

      Note: Due to Zoom limitations, enabling Gallery View may impact certain board functionalities - such as third-party forms (Marketo/HubSpot) or external cookie-consent scripts. If you enable it, make sure to test your board thoroughly to confirm everything works as expected.
      
      

3. Under Schedule Event, configure the following settings:
   1. Use the date and time picker to set the start time, end time, and time zone of your event.
       The event schedule appears on the board until the event starts.
   2. To add an Add To Calendar button to your board, enable the visibility icon next to it.
      Adding the button enables a lead to add the scheduled event to their personal calendar. The button is displayed on the event placeholder and the lead can choose from one of the following calendar options:

    • OUTLOOK
    • OUTLOOK WEB
    • YAHOO

         After the lead selects a calendar, the following information is included on their calendar:

• • • Event title
    • Start date and time
    • Description of event
    • Live event link

1. 3. In the textbox, write a short description of the event. After the lead adds the Zoom event to their calendar, this description will appear on the lead's calendar linking to the event.

Pre event / During event / Post event

You can configure settings for different stages of an event - pre-event, during the event and post-event.

Pre-event

Add a title and image for visitors to see before the event begins. The event's information appears on the board until the event starts.

1. Show/hide the Title and Image for the pre-event stage using the eye icon visibility controls.
2. To edit the Title, click on the pencil edit icon on the title. Use the rich text editor to design the title.
3. To edit the Image, click on the pencil edit icon and select an image from the Image Library. Use the image editor to design the image.  
4. Presented time – You can choose whether to display the event time in the visitor’s local time or in the selected time zone:

5. The Add to calendar component will appear if enabled in the schedule settings.

During event

Design the attendance button for visitors to join the Zoom event. Once the event begins, visitors will see an overlay with the attendance button over the muted Zoom meeting.

1. Configure the Attendance Button settings:
   1. Select a button style from your theme's button settings
   2. Enter custom text for the Attendance button (default: "Ready to join?")  
2. When leads click the attendance button during a live event:
   1. They will be tracked as attendees with "Attended" status
   2. The overlay will be removed and the Zoom event will become active with sound
   3. Time tracking begins for engagement analytics
3. If the page is refreshed during the event, visitors will need to click the attendance button again to rejoin.
4. You can show/hide an "Open in Zoom" button, which allows users to open the Zoom meeting in the Zoom app. Note: the "Open in Zoom" button will always be visible in mobile view, replacing the embedded Zoom window on the live board.
5. You can show/hide and edit a preview image, which appears as the background beneath the join button. Note: when the preview image is hidden, a black placeholder will be shown by default.

Post event

After the live event has ended, you can choose to display either a placeholder or upload a recording for on-demand viewing.

Placeholder Option

1. To design the Placeholder for the post event, configure the following elements:
   1. Show/hide the Title using the eye icon.
   2. Show/hide the Subtitle using the eye icon.
   3. Show/hide the Cover Image using the eye icon.
   4. Select a cover image from the Image Library.
   5. Show/hide the Button using the eye icon. 

Recording Option

1. Show/hide the Zoom Recording using the eye icon.
2. Click Upload Video to upload a recording file of your Zoom event for on-demand viewing.
3. When leads view the recording, they will be tracked with "Viewed Recording" status.
4. View duration will be tracked for analytics purposes.

Designing the section background

You can design the background with a unique background color, image or video and update padding settings.

1. To open the background editor, click the background edit button on the Zoom Event section toolbar.
2. To edit the background elements, see the article Using the Background Editor.

Editing the Zoom Event section title and subtitle

You can use the text editor to edit the title and subtitle of the Zoom Event section, along with the attendance buttons for each stage of the event. Create a memorable title and subtitle for your event to capture the audience's attention.

1. To open the text editor, hover over the text of the title or subtitle in the Zoom Event section or attendance buttons and click the text edit button.

Analytics and Tracking

Event Status Tracking

• Not Registered - Lead hasn't interacted with event
• Registered - Lead added event to calendar
• Attended - Lead clicked attendance button during live event
• Viewed Recording - Lead viewed post-event recording

Duration Tracking

Tracks participation time from attendance button click until event ends, board closes, or recording pauses.

Pulse Tab

• Event status for each lead (Not Registered/Registered/Attended/Viewed Recording)
• Participation duration
• Activity Stream:
  • Event name and participation duration
  • "Attended Event" and "Viewed Recording" activities

Engagement Activity Report

• "Attended Event" and "Viewed Recording" activities
• Event name and activity duration

Board Performance Report

• Total attended
• Total viewed recording

Personalizing a Zoom Event section

To create a more personalized experience for your visitors, you can use merge tags to replace text for each stage of the event: Pre-event, During event and Post event. Using personalization rules, you can customize each setting and text element.
