The Add-to-Calendar feature allows you to include calendar invitations in your Folloze email campaigns, making it easy for leads to add your events directly to their calendars. This feature supports both Folloze-hosted events and external events, helping increase attendance rates and engagement.

Getting Started

1. Navigate to Campaigns → Click on Create Campaign 

2. Look for the "Add to Calendar" button in your email editor (Under the “Message” tab)

3. Click the  button to begin adding calendar functionality to your email
   
   

Event Types

You can create calendar invitations for two types of events:

Folloze Events

These are events already configured in your Folloze board's event section (Zoom/Simulive widgets).

Key Features:

• Event details are automatically pulled from your existing board configuration

• No manual data entry required

• Event information cannot be edited in the calendar setup (must be changed in the board's event section)

Important: Static Event Information -  Once calendar invitation links are generated for a Folloze event, the event information becomes static and is saved permanently in:

• Email templates

• Content Play campaigns

• Scheduled campaigns

• Calendar invitations already sent to leads

If you make changes to event details in your Zoom/Simulive widgets after generating calendar invitations, you will need to:

• Update any email templates that use the calendar feature

• Re-schedule any scheduled campaigns

• Re-generate calendar invitations for future sends

 

External Events

These are events hosted on external platforms (webinars, conferences, etc.).

Key Features:

• Requires manual configuration of all event details

• Flexible setup for any external event platform

• Full control over event information
  

Setting Up Calendar Invitations

Step 1: Click the "Add to Calendar" button in your email editor

Step 2: Select "Folloze Event" or "External Event" from the dropdown menu

For Folloze Events:

Step 3: Review the event configuration popup

• All details are pre-populated from your board's event section
• Note: Event information cannot be edited here

Step 4: Click "Apply" to add the calendar functionality

For External Events:

Step 3: Fill in the required event details:

• Event Title (Required): This will appear as the calendar event title
• Description (Optional): Additional event information
• Event Platform URL (Required): Link where attendees can join the event
• Date (Required): Event date
• Start Time (Required): When the event begins
• End Time (Required): When the event ends

Step 4: Click "Apply" to save your configuration

Calendar Platform Support

Your invitations will automatically support multiple calendar platforms:

• Apple Calendar

• Google Calendar

• iCal File (downloadable)

• Microsoft 365

• Outlook.com

Event Indication Panel

Once you add a calendar invitation to your email, you'll see:

• An event indication panel on the left side of the email editor

• Event details summary for quick reference

• This panel disappears when you remove the calendar invitation
  

ICS File Management

 

What is an ICS file? An ICS file is a standard calendar format used to share and import events across different calendar applications.

Key points:

• Automatically generated for each event
• Appears as an indication under the email body
• Can be removed independently from calendar platform links
• To completely remove calendar functionality, remove both platform links and ICS file
